
How to Create an Effective Employee Handbook
A well-written employee handbook aligns expectations, improves communication, and minimizes risk. It serves as both a guide and a safeguard, preventing misunderstandings and potential legal issues.
Cover The Basics
It’s crucial to have a clear and concise handbook with easy-to-read language. You want it to be approachable and understandable for the average person, without unnecessary jargon. Your handbook should be comprehensive and cover all the necessary topics. Don’t get overly legalistic when it’s not necessary. Make it accessible by offering it in both print and digital formats and storing the file somewhere remote employees can get to it when questions come up. You should also have a process in place to regularly monitor and update your handbook to stay up to date with federal and state policies.
Consider Tone and Language
Your handbook should be easy for employees understand and relate to. Use gender-neutral and non-discriminatory language so it encompasses all aspects of your workforce and makes employees feel welcome. Clearly define terms used, like full-time, part-time, exempt, and non-exempt. And use plain language; a good rule of thumb is writing to an eighth grade reading level.
Practice Good Policy Writing
Organize your policies with clear headers and bullet points, and make sure they’re consistent in style and tone. Incorporating FAQs or example scenarios can clarify policies and prevent misinterpretation. Ask managers, supervisors, or even employees for feedback on whether the policy makes sense, what questions they have, etc.

Your employee handbook can be a great reflection of your company culture! Bring in information around your mission, vision, and values. Include a letter from your President or CEO at the beginning welcoming people to the team. Use your organization’s branding, and highlight stories, testimonials, and unique traditions. This can help employees connect to your brand.
